The Seiners Arms Wedding Terms & Conditions

Please read these terms and conditions carefully before confirming your wedding booking. These terms should be read alongside your individual wedding quotation and any arrangements agreed with The Seiners Arms in writing.

1. Reserving your wedding date

An initial payment of £100 is required to provisionally reserve your wedding date.

A further payment of £400 is due within three weeks of reserving the date, making the total wedding deposit £500.

The initial £100 forms part of the £500 deposit and is not an additional charge.

Your wedding booking will be fully confirmed once:

  • The full £500 deposit has been received
  • Your names, address and contact details have been provided
  • You have confirmed in writing that you accept these terms and conditions

By paying the deposit, you confirm that you have read and accepted these terms and conditions.

The couple is responsible for arranging and paying for the registrar and all legal ceremony fees separately.

2. Payment schedule

The wedding payment schedule is:

  • £100 to provisionally reserve the wedding date
  • A further £400 within three weeks, making the total deposit £500
  • 50% of the estimated wedding cost six months before the wedding
  • The full remaining balance eight weeks before the wedding

Final guest numbers, menu choices, dietary requirements, accommodation arrangements and any additional services must also be confirmed no later than eight weeks before the wedding.

If a wedding is booked less than six months before the wedding date, an individual payment schedule will be agreed in writing.

Payments must be made by the agreed dates. Failure to make payment may result in the booking being cancelled and the relevant cancellation terms being applied.

3. Final guest numbers and arrangements

Final guest numbers must be provided no later than eight weeks before the wedding.

The final invoice will be based on the confirmed guest numbers and agreed arrangements.

After final numbers have been confirmed:

  • Refunds cannot be given if guest numbers decrease
  • Additional guests will be subject to availability
  • Any additional guests or services must be paid for when confirmed
  • Changes to menus, drinks, decorations, timings or accommodation may not always be possible

The Seiners Arms reserves the right to review the room allocated to the wedding if final guest numbers are significantly lower than originally estimated. Any proposed changes will be discussed with the couple.

4. Cancellations and changes of date

All cancellations must be made in writing.

A request to postpone or change the wedding date will normally be treated as a cancellation unless an alternative arrangement is agreed by The Seiners Arms in writing.

The following cancellation charges will apply:

  • More than 12 months before the wedding: the deposit will be retained
  • Between 6 and 12 months before the wedding: 50% of the estimated wedding cost will be payable
  • Less than 6 months before the wedding: 100% of the estimated wedding cost will be payable

£250 booking and administration fee, which forms part of the deposit already paid, will be retained in all cases.

If The Seiners Arms is able to resell the wedding date, the cancellation charge may be reduced to reflect the amount recovered, less the £250 booking and administration fee and any reasonable costs already incurred.

The Seiners Arms strongly recommends that couples arrange suitable wedding insurance.

5. Cancellation by The Seiners Arms

The Seiners Arms may cancel or end a wedding booking where:

  • Payments have not been made by the agreed dates
  • The couple has provided false or misleading information
  • There has been a serious breach of these terms
  • The couple, guests or suppliers behave in a threatening, abusive, illegal or unsafe manner
  • Circumstances outside our reasonable control make it impossible to provide the wedding

Where possible, The Seiners Arms will discuss alternative arrangements with the couple.

Nothing in these terms limits any rights the couple may have under consumer law.

6. Accommodation

Separate accommodation terms and conditions apply to all bedrooms.

Where a complimentary bedroom is included in the wedding quotation, this will be clearly stated in writing.

The couple may be asked to allocate bedrooms to their guests. Guests will be given instructions explaining how and when to reserve and pay for their rooms.

Any bedrooms charged to the wedding account must be paid for in accordance with the wedding payment schedule.

Cancellation charges may apply to bedrooms that are cancelled, left unpaid or not used.

Guests may be asked to provide a debit or credit card on arrival to cover any additional room charges.

Bedrooms are subject to availability and cannot be guaranteed until they have been confirmed.

7. Food and drink

Final menu choices must be confirmed no later than eight weeks before the wedding.

All food and drink must be supplied by The Seiners Arms unless another arrangement has been agreed in writing.

The wedding cake may be supplied by the couple or an external supplier, subject to prior agreement.

Guests may not bring their own food, alcohol or soft drinks onto the premises.

Corkage is not normally available. Any exception must be agreed in writing in advance, and a corkage charge may apply.

Specific wines or vintages selected in advance may become unavailable. Where this happens, The Seiners Arms will provide a suitable alternative of a similar quality, style and price.

Food and drink may not be removed from the premises unless agreed by The Seiners Arms.

8. Allergies and dietary requirements

All allergies, intolerances and dietary requirements must be provided in writing no later than eight weeks before the wedding.

The Seiners Arms can provide information about allergens intentionally present in its dishes.

Our kitchen handles ingredients including gluten, eggs, milk, nuts and other allergens. Although reasonable care is taken, we cannot guarantee that any dish will be completely free from traces of an allergen because of the risk of cross-contamination.

Guests with allergies or dietary concerns should speak to a member of staff before eating any food where they are uncertain about the ingredients.

The couple is responsible for ensuring that all dietary information provided to The Seiners Arms is complete and accurate.

9. Wedding suppliers

All external suppliers must be approved by The Seiners Arms before attending the venue.

This may include:

  • DJs and bands
  • Photographers and videographers
  • Florists and decorators
  • Cake suppliers
  • Entertainers
  • Equipment-hire companies

Suppliers must comply with the venue’s health and safety requirements and may be asked to provide appropriate insurance, electrical safety certificates or other documentation.

The Seiners Arms is not responsible for the performance, conduct or cancellation of an external supplier booked directly by the couple.

The couple is responsible for ensuring that suppliers are given the correct access and finishing times.

10. Entertainment and licensing

All entertainment must comply with the venue’s licensing conditions.

Live bands must be approved by The Seiners Arms before they are booked and must finish by 11pm.

DJs and recorded music must finish at the time stated in the couple’s confirmed arrangements and no later than midnight.

The bar will close at the agreed time stated in the wedding arrangements.

The Seiners Arms reserves the right to reduce the volume of entertainment where necessary to comply with licensing conditions, protect other guests or respond to reasonable noise concerns.

Smoke machines, fireworks, pyrotechnics and similar effects may not be used without prior written permission.

11. Venue access and setting up

Access to the function room and other wedding areas will be at the times agreed in writing.

The wedding quotation will state what venue styling, decorating and setting-up assistance is included.

Any additional decorating, staffing, setting-up time, room access or clearing-down time must be agreed in advance. Additional charges may apply and will be confirmed before the wedding.

Nothing may be fixed to walls, ceilings, furniture, windows or fittings without permission.

Confetti, candles, lights and other decorations must be approved in advance.

The couple is responsible for removing any decorations or hired items they have supplied at the agreed time.

12. Personal belongings, cards and gifts

Personal belongings, wedding gifts, cards, cash and valuables remain the responsibility of the couple and their guests.

Valuable items may be placed in the venue safe by prior arrangement. A receipt must be obtained.

The Seiners Arms cannot accept responsibility for belongings left unattended, except where loss or damage has been caused by the negligence of The Seiners Arms.

Wedding gifts, cards, remaining cake, flowers and decorations supplied by the couple must be collected at the end of the reception unless another arrangement has been agreed.

Items left behind will normally be stored for a maximum of 24 hours. After this time, they may be disposed of or repurposed.

Any loss or damage should be reported to the duty manager before leaving the venue.

13. Deliveries

All deliveries must be agreed with the wedding coordinator in advance.

Deliveries should be clearly marked with:

  • The couple’s names
  • The wedding date
  • The name of the supplier
  • Details of the contents

The Seiners Arms cannot accept responsibility for deliveries made without prior agreement or for items delivered outside the agreed times.

Suppliers are responsible for collecting their equipment and property at the agreed time.

14. Other guests and events

The Seiners Arms remains open to residents and members of the public unless exclusive use has been specifically included in the confirmed quotation.

The bar, terrace and other public areas may be used by guests who are not attending the wedding.

Other areas may also be reserved for residents, diners or separate events.

The Seiners Arms may hold more than one event within the building, provided this does not affect the private use of the areas included in the wedding booking.

15. Maintenance and the building

The Seiners Arms is an older seafront building that requires regular maintenance and occasional emergency repairs.

We will take reasonable steps to avoid disruption to weddings. However, essential repairs or maintenance may sometimes be necessary.

The appearance, furniture, decorations and layout of the venue may change from time to time. Where a significant change may affect the wedding arrangements, the couple will be informed where reasonably possible.

16. Accessibility

Portable ramped access is available to most areas of the venue.

The Seiners Arms has an accessible bedroom, which must be reserved in advance.

Due to the age and layout of the building, not every area is fully accessible.

Couples should discuss the needs of any guests with reduced mobility or other accessibility requirements before confirming their arrangements.

The Seiners Arms will make reasonable efforts to accommodate individual accessibility requirements.

17. Car parking

The Seiners Arms has a small private car park with limited spaces.

Parking is not included or guaranteed unless it has been specifically agreed in writing.

Vehicles and their contents are left at the owner’s risk, except where loss or damage is caused by the negligence of The Seiners Arms.

Guests must remove their vehicles by the time stated by the venue.

18. Behaviour

The couple is responsible for the reasonable behaviour of their guests and suppliers.

Guests must treat staff, residents, customers and the premises with respect.

Threatening, abusive, discriminatory, offensive, illegal or unsafe behaviour will not be tolerated.

The Seiners Arms reserves the right to:

  • Refuse service
  • Remove an individual from the premises
  • Stop entertainment
  • End the wedding or reception where necessary to protect staff, guests or property

No refund will be given where an event is ended early because of serious misconduct by the couple, their guests or their suppliers.

19. Damage and additional cleaning

The person making the booking may be charged for damage, theft or additional cleaning caused by the couple, their guests or their suppliers.

This may include damage to:

  • The building
  • Bedrooms
  • Furniture
  • Decorations
  • Equipment
  • Linen, crockery or glassware

Any additional charges will be explained and supported by reasonable evidence where possible.

The Seiners Arms should be informed immediately of any damage or breakages.

20. Children

Children must be supervised by a responsible adult at all times.

The Seiners Arms is close to the beach, road, terraces, steps and public areas. Parents and guardians remain responsible for the safety and behaviour of children attending the wedding.

Children must not be left unattended in bedrooms, function rooms, public areas or outside spaces.

21. Dogs and other animals

Dogs may only attend a wedding where this has been agreed in advance.

Dogs must remain supervised, under control and on a lead where required.

Dogs are not permitted in certain bedrooms or dining areas, except for recognised assistance dogs.

The couple is responsible for informing guests of the venue’s dog policy.

Any damage or additional cleaning caused by an animal may be charged to the person making the booking.

22. Circumstances outside our control

The Seiners Arms will not be responsible for disruption caused by circumstances reasonably outside its control.

These circumstances may include:

  • Severe weather
  • Flooding, fire or storm damage
  • Failure of public utilities
  • Government restrictions
  • Public emergencies
  • Road closures
  • Industrial action
  • Emergency repairs
  • Supplier failure outside our reasonable control

Where an unexpected problem occurs, The Seiners Arms will take reasonable steps to minimise disruption and, where possible, provide a suitable alternative.

Nothing in these terms excludes or limits liability where it would be unlawful to do so.

23. Outdoor ceremonies and photographs

Outdoor ceremonies, terrace use and beach photographs are subject to weather, safety and local conditions.

The Seiners Arms cannot guarantee that an outdoor ceremony or photograph session will be possible.

A suitable indoor alternative will be discussed as part of the wedding arrangements.

The decision to move a ceremony indoors may be made by The Seiners Arms where weather or safety conditions make the outdoor area unsuitable.

24. Changes requested by the couple

Any changes to the agreed arrangements must be requested in writing.

Changes are subject to availability and may result in additional charges.

This includes changes to:

  • Guest numbers
  • Menus
  • Drinks
  • Timings
  • Venue styling
  • Entertainment
  • Accommodation
  • Room layout
  • Additional services

Any revised price will be confirmed before the change is accepted.

25. Prices

Prices are correct when a quotation is issued and will be confirmed when the booking is accepted.

Confirmed prices will not normally change unless:

  • The couple changes the agreed arrangements
  • Guest numbers, food, drink or services change
  • There is a change in VAT or another applicable tax
  • Exceptional circumstances outside our reasonable control cause a significant increase in cost

Any proposed additional charge will be explained and confirmed in writing.

26. Complaints

Any concern during the wedding should be raised with the duty manager or wedding coordinator as soon as possible so that we have an opportunity to resolve it.

Any formal complaint following the wedding should be submitted in writing within 14 days.

The complaint should include full details of the issue and any supporting information.

27. Personal information

The Seiners Arms will use the personal information provided by the couple to manage the wedding booking, process payments, arrange accommodation and communicate about the event.

Information may be shared with members of staff and suppliers where reasonably necessary to provide the agreed services.

Personal information will be handled in accordance with the venue’s privacy policy.

28. Final agreement

These terms and conditions should be read alongside:

  • The couple’s confirmed quotation
  • The agreed wedding arrangements
  • Accommodation terms, where applicable
  • Any additional terms confirmed in writing

Where an individual arrangement has been agreed in writing, that agreement will take precedence over the general wording in these terms.

The Seiners Arms reserves the right to refuse a booking before a contract has been formed.

Once the booking has been confirmed, it will only be cancelled by The Seiners Arms in accordance with these terms or where there has been a serious breach of the agreement.
